Track each person on your team

Read the Team list, open a person's training file, and act for that one person.

Team lists everyone in the workspace, with the people who still owe training at the top. Click anyone to open their training file: what they owe, how far they got, every answer they gave, and what you can do for them, from a reminder to a leave of absence.

Before you start:

  • Something must be required. Until a published training belongs to a training need, Team says "Nothing required for now." and there is nothing to track.
  • Owners and Managers can act on a file. Viewers can read the list and every file, but cannot change anything.

Find who is not done

Open Team

In the sidebar, click Team. Under the title you see how many people have joined and the workspace name, for example "12 people · Northwind Supply".

Read the summary

The card at the top gives the verdict, such as "3 have not finished.". Below it: the team's due date and how far away it is, a red line if people are past their own due date, and a count such as "1 to retake · 2 have not joined yet". The card beside it says whether the agent is following up for you.

Narrow the list

Click a role chip, such as Warehouse, to see only that role: the summary is recounted for it. Whole team shows everyone again. The search box finds a person by name or email.

Open a training file

Click the person's row. To go back, click Team at the top of the file.

The list is grouped so the people most at risk come first:

Read a training file

The left side shows what the person owes and how they answered. The right side holds their contact details, history and the actions for leave and removal.

Send a reminder

On the verdict, click Send a reminder (Resend the invitation for someone who has not joined). You see "Reminder sent · just now". The email names a training they still owe and links to your portal. Replies come to you. The button shows only while they have something to do, and never while they are on leave.

If you see "A reminder was already sent in the last 24 hours.", you or the agent wrote to them in the last 24 hours. Try again after that.

Change the role or contact details

  • Role. Click the roles under the name, or Assign a role, and tick the roles they hold. Changes save on their own, and what they owe follows.
  • Contact. In CONTACT, click Edit, change Name, Email or Phone, and click Save. An email or phone already used to sign in is locked: "Already used to sign in — cannot be changed."

Merge duplicate records

When two records look like the same person (same email, phone or name), a line above the list names both. Click Merge. The dialog marks the record with more progress KEEP and the other ABSORB. Click the other card to keep it instead, then click Merge. Progress, roles and contact details move to the record you keep, and the other one leaves the team and frees its seat. Two different people? Click Not the same.

Put someone on leave

Use it for parental leave, sick leave or any long absence. While on leave, the person receives no messages at all: nothing from the agent, no reminders from you, no reminders to join. They keep their seat, roles and portal access, and anything they complete still counts.

Open the leave dialog

In LEAVE AND DUE DATE, click Put on leave.

Choose the kind of leave

Pick Open-ended if you do not know the return date. Otherwise pick Planned return and set the RETURN DATE. NEW DUE DATE fills in with the return date plus 7 days, so they do not come back late. You can change it.

Confirm

Click Put on leave. You see "Maya Chen is on leave." and she moves to ON LEAVE · NOT SCORED.

End the leave

A planned return ends on its own that day. To end a leave yourself, click Resume, then Confirm resume. They count, and get reminders, from that moment.

Give someone more time

In LEAVE AND DUE DATE, click Extend due date, pick the PERSONAL DUE DATE and click Save. Their reminders and late status follow that date. It only gives more time than the team's due date: a date on or before the team's date, or their start-date due date, has no effect. Saving a new personal date replaces the previous one. It never moves an external source date set on the Training needs page. To undo it, click Edit on the same row, then Remove personal due date.

Remove someone from the team

At the bottom of the file, click Remove from the team, then Confirm removal. The person loses portal access, leaves the list and frees a seat. Their leave and personal due date are cleared, but their file and answers are kept. Adding the same email again brings them back with their history.

Good to know

Early on, the list leads with progress. While no due date is within 7 days and nobody is late, IN PROGRESS comes first, and people who have not started show under JOINED · NOT STARTED YET, not in red.

A personal due date stays after a leave. After an open-ended leave, extend the due date if they need more time.

Manual reminders are not listed in the agent's SENDS list, and the Team list does not show who was reminded.

Not the same is remembered per browser. On another computer, the pair can show up again.

The two counts differ. The number under the Team title counts people who have joined. The one next to Team in the sidebar includes people waiting to join.
