Read your Dashboard

See at a glance whether your team is up to date, who is not done, and what only you can fix.

The Dashboard is the first page you see when you sign in. For one workspace, it tells you whether your team is up to date on its required training, names the people who are late or due soon, and lists the few things the agent cannot fix for you. A look once or twice a week is usually enough.

Before you start:

  • Everyone with access sees it. Owners, Managers and Viewers all have the Dashboard.
  • Acting on it needs Owner or Manager access. A Viewer sees the same buttons, but sending reminders or changing the agent does not work for them.

Check where your team stands

1

Open the Dashboard

In the sidebar, choose Dashboard. Under the title you see the workspace and the size of the team, for example Northwind Supply · 12 people · 2 waiting. Waiting counts people who were invited, or asked to join, and are not on the team yet.

2

Read the verdict

The top card gives a status chip and a headline, such as LATE and 2 people are past their due date. When people are late, the line under it also says whether the agent is following up. The bar splits everyone who is scored into up to date, in progress and late. The table below explains each chip.

3

See who is not done

WHO IS NOT DONE names everyone who is late or due within 7 days: the training they still owe, how far they are, and 8 days late, today or in 3 days. Choose a name to open that person's training file. After 8 people, Team opens the full list.

A flagged chip means the agent has flagged that person to you. unreachable means there is no email and no working mobile for them.

4

Handle what needs you

NEEDS YOU lists what only a person can fix, most urgent first. Each row has one button that takes you straight to the fix. When nothing is left, it reads Nothing to handle. The agent takes care of the rest.

5

Check what the agent is doing

The dark panel beside the verdict reads The agent is looking after your team. with its next sends, or The agent is off. with Activate. The gear opens Agent settings. Lower down, THIS WEEK, THE AGENT covers the last 7 days. follow-ups sent counts follow-ups after a due date, nudges to join and retake reminders. It leaves out reminders before a due date and "available" notices. escalations to you counts the flags. The card also shows the next pass and when the last weekly report went out.

What the verdict means

ChipWhat it means
NOTHING REQUIREDNo Required training need has a published training yet, so nobody can owe anything.
ON TIMEPeople still have work to do, but nobody is past their due date.
LATEAt least one person is past their own due date.
LATE · … DEADLINEAn external source date has passed and people it covers are not done. The chip names the source.
UP TO DATEEveryone who is scored has finished.

People on leave, and people in a role left out of the score, count as outside the score. The card then reads, for example, 10 scored of 12.

What each NEEDS YOU row asks

Only 5 rows show at once, then +N more. A row goes away as soon as its cause is fixed.

When nobody is late yet, the first row reads Follow-ups are off while people have work in progress and moves down the list.

Remind people by hand

While Follow-ups or Escalation is off and someone is late, a Remind button appears under WHO IS NOT DONE:

  1. Choose Remind 2. The number counts the late people who have joined.
  2. Choose Confirm — send to 2, or Cancel.
  3. The button shows Sending…, then a count such as 5 reminders sent.

Remind writes to everyone who has joined and still owes training, not only the late people in the list. That is why the count sent can be higher than the number on the button. Reminders go by email, and also by text if texts are on for your workspace. People still waiting to join, and anyone reminded in the last 24 hours by you or the agent, are skipped. If you see The reminders could not be sent., check that you have Owner or Manager access to this workspace.

Getting started checklist

A new workspace shows a GETTING STARTED card at the top, A few steps and the agent runs the rest., with one button per step:

  1. Publish your training: Open the draft, or Create a training.
  2. Add your team: Add people.
  3. Turn on the agent: Turn on.
  4. Check out your training portal: Open portal, in a new tab.

The GETTING STARTED card with its four steps: Publish your training, Add your team, Turn on the agent and Check out your training portal

Finished steps read · done. The card goes away once the workspace has a published training and at least one person, even one who has not joined yet, and even if the agent is still off.

Until you publish a training for a Required training need, the verdict reads NOTHING REQUIRED. If you publish before adding anyone, it reads UP TO DATE because nobody owes anything yet. Both are expected.

New arrivals and coming deadlines

NEW ARRIVALS appears when someone joined in the last 14 days. Each row shows no role, nothing required, or a step bar such as 1 / 3 with their due date.

COMING UP shows your next training need dates on a timeline, with lines such as Closes in 12 days · 3 people to follow up. With nothing ahead, it reads No deadline on the horizon.

On your phone

The sidebar becomes a bar at the bottom of the screen, with icons for Dashboard, Team and Training needs. Choose … for everything else, including Settings and the workspace switcher. The Dashboard sections stack one under the other.

Good to know

  • Late is per person. Each person is measured against their own due date: the training need's date, their start date plus the days allowed after hiring, or a personal due date set on their file.
  • People waiting to join are not scored. If their due date has passed or is within 7 days, they appear in WHO IS NOT DONE as invite not opened. They count in the score once they join.
  • One workspace at a time. To see all your workspaces together, choose Group in the workspace switcher. See Manage several workspaces.
  • Some labels say academy, such as The agent is off for this academy. Academy is the app's older word for workspace.
  • Lifetime plans. On an AppSumo lifetime plan the agent is not included, so its buttons read Upgrade to unlock. Remind still works.
  • Blank Dashboard? If it reads The dashboard could not be read. Reload the page., reload the page.
