Invite co-managers

Give colleagues access to the dashboard as a Manager or a Viewer, change what they can do, or remove them.

Co-managers are colleagues who help you run training, such as a store manager or a supervisor. They sign in to the same dashboard as you and follow the people in the workspaces you give them. They are not the people you train: you add those on Team, and they take their trainings on the portal.

Before you start:

  • Only the owner can invite, change or remove co-managers. The owner is the person who created the account. Managers see the ACCESS list in Settings, without its buttons.
  • A seat must be free. The bottom of the ACCESS card shows the seats used and the seats you have, for example 2 OF 4 SEATS. The owner counts as one. Co-manager seats are separate from learner seats.

Invite a co-manager

Open ACCESS

In the sidebar, choose Settings, then scroll down to ACCESS. Each row shows a badge such as OWNER or MANAGER.

If you have several workspaces, chips above the list filter it: Whole group, or one workspace.

Enter their email

At the bottom of the card, choose Invite. The Invite to the workspace window opens. Type their work email under EMAIL.

Pick the role

Under ROLE, choose Manager or Viewer. Each card says what the role allows.

Choose their workspaces

Under WORKSPACES, tick each workspace they should reach. At least one is required. With several workspaces, Select all ticks every one.

If they must also complete trainings, turn on Also a learner and pick the staff role they train under, such as Warehouse. They then take a learner seat too. Pick a staff role marked optional completion to keep them out of the Dashboard score.

Send the invitation

Choose Send the invitation. You see Invitation sent. Their row appears with an INVITED badge. Until they join, it shows the part of their email before the @ as their name.

If you see You have reached the maximum of … team members, every seat is taken. Free one (see Remove a co-manager below), or write to support@learniverse.app for more seats.

What your colleague does

Forward these steps to the person you invited.

Open the invitation

Open the invitation email, for example You've been invited to join the team at Northwind Supply, and choose the button in it. The Join your team page opens, with your email already filled in.

Create your account

Choose Continue with Google. Or, under Or with email, type a password and choose Sign up with email. On Enter the six digits we emailed, type the code, then choose Verify and continue.

If you already have a Learniverse account with this email, choose Sign in at the bottom of the page instead.

Add your name

If a welcome page asks for your name, fill in First name and Last name, then choose Get started. You land on the Dashboard.

Once they have joined, the INVITED badge disappears from ACCESS.

Change access or notifications

Open their access

In Settings › ACCESS, choose Access on the person's row. Edit access opens.

Change the role or the workspaces

Switch ROLE between Manager and Viewer, and tick or untick workspaces under WORKSPACES. The role applies to every workspace you tick.

Turn on notifications

Next to a ticked workspace, choose Notifications, which is off by default. They then receive that workspace's weekly report and the agent's escalations about late people, and their row in ACCESS shows NOTIF.

Save

Choose Save. You see Access updated.

Remove a co-manager

Choose the × at the end of their row. In Remove access, choose Remove Member. This removes them from the workspace you are in, named at the top of the sidebar, even if a chip above the list shows another workspace. When they lose their last workspace, they leave the team and their seat is free again.

Unticking every workspace in Edit access is different: the button becomes Revoke all access. They lose access but keep their seat. To free the seat, use the ×.

Good to know

  • The owner's row and your own row have no buttons. The owner always reaches every workspace. To get the weekly report yourself, see Automatic follow-ups.
  • New workspaces are not shared automatically. Tick a new workspace in each co-manager's Access.
  • Ownership cannot be moved in the app. To make someone else the owner, write to support@learniverse.app.
  • On an AppSumo lifetime plan, only Lifetime · 4 can invite co-managers. See Manage your plan, seats and credits.
