Create a training
Start a training from a training need, a short description or a blank page, check its outline, and let Learniverse write the lessons.
A training is what your people take: modules of short lessons with text, questions and media. Each one answers a training need, which says who must take it and by when. Learniverse drafts the training from your own documents, you check the outline, and only then does it write the lessons. Nothing reaches your people until you publish.
Before you start:
- You are an Owner or a Manager. Viewers do not see New training.
- Your roles are set up on Team if only some people take the training, such as Warehouse. See Add people and roles.
Choose how to start
Every training starts from New training on the Training needs page. It opens a page with three ways to start:
| Start | Use it when |
|---|---|
| Describe it | You can say in a few sentences what people should learn. |
| From a training need | The training need exists, with its roles and deadline, such as Forklift refresher for Warehouse. |
| From scratch | You want to write every lesson yourself. Nothing is generated. |
Create a training from a training need
In this example, Northwind Supply has a Forklift refresher training need for its Warehouse role, with no training yet.
Open New training
In the sidebar, choose Training needs, then New training at the top right (on a phone, the round + button). While your Dashboard shows GETTING STARTED and you have no draft, its Create a training button opens the same page.
A training need with no training yet shows under To deploy. Its Generate the training button takes you straight to step 3.
Pick the training need
Choose From a training need, then Forklift refresher under THIS ACADEMY’S TRAINING NEEDS (some screens say "academy" for workspace). TO GENERATE marks a training need with no training yet.
Not listed? Choose Create a training need. Learniverse looks up suggestions for your workspace: pick one, then Use this training need. Or choose Write it myself, fill it in, and choose Save and generate. You come back here with it picked.
Choose your documents
The page now reads From “Forklift refresher”, with Change to pick another one. Under AVAILABLE DOCUMENTS, you can tick up to three of your own files, tagged YOURS, such as Forklift SOP.pdf. Files tagged FROM RESEARCH were found on the web for this training need. They do not count toward your three, and you can untick them.
To add a file, choose Add another (Add a procedure when the list is empty), then Click to upload and Upload 1 file. It shows PROCESSING, then is ticked. Ticked files are saved on the training need as its sources.
If you see Search the web again for the official source, leave it unticked unless that source has changed.
Generate the draft
Choose Generate the training. The Drafting the training page lists each stage. It takes a few minutes. If it stops with an error, choose Try again.
Review the outline
Review this training shows the TRAINING TITLE, the AUDIENCE (when the training need names roles), and the modules with their lessons. To change any of them, choose Edit at the top of the modules list, make your changes, then Done. For a bigger change, describe it under WANT SOMETHING CHANGED? · OPTIONAL, for example Make it a short refresher for operators who are already certified, and choose Apply to outline.
If a notice says No source document backs this outline, it was written from general knowledge. Read it closely before you approve.
Approve and build the lessons
The TRAINING NEED card reads Answers the training need “Forklift refresher”. Who and when are set there. Choose Approve & build lessons. It works once the training and every module have a title. Writing the lessons shows each module as it is written. After several minutes, the training opens in the editor.
The training is now a Draft under Training needs › All trainings. Nobody sees or owes it until you publish.
Describe it instead
Describe it is selected when the page opens. Under WHAT SHOULD YOUR TEAM LEARN?, write it in plain words, for example How we check, refund and log a customer return at the front desk. Tick or upload documents as in step 3. Here they feed this training only. Then choose Generate the training.
The outline review works the same way, but its TRAINING NEED card lets you set who and when. It is saved when you choose Approve & build lessons, so publishing will not ask again.
| Field | What it holds |
|---|---|
| WHO | The roles picked under AUDIENCE, or Everyone. To change it, use Edit on the outline. |
| BY WHEN | Days after each person starts (30 by default), By a fixed date, or No deadline. |
| Required or Optional | Required: each person owes it and lateness shows. Optional: offered, not owed. |
To change it later or make it renew, for example every year, see Manage your training needs.
Start from scratch
Choose From scratch, then Open the editor. A blank Untitled Course opens and nothing is generated. When you publish it, Learniverse asks who must complete it and by when.
Good to know
- Files. PDF, Word, Excel, CSV, text, images, video or audio, up to 25 MB each (100 MB for a video). Uploading uses credits: the upload window shows how many (see Plan, seats and credits). Lifetime plans cannot upload video.
- Language. Lessons are written in the workspace language (Settings › ADDRESS › Language), whatever language you type in.
- Coming back to a draft. You can leave while it drafts or builds. Until the lessons are built, keep the tab open, or copy the page address from your browser to come back.
- Generate once. Generating again from the same training need adds a second training to it.
Troubleshooting
"Choose at least one learner role before approval." Choose Edit, click a role under AUDIENCE, then Done.
"Lesson generation failed". Choose Try lesson build again. It carries on from the outline you approved.
Next steps
- Edit a training: polish the lessons.
- Publish, export and share a training: go live.
