Publish, export and share a training

Put a training live for the people who must take it, take it offline, copy or delete it, and export it as a PDF, a SCORM package or an embed.

Publishing puts a training live on your portal, the website where your people take their trainings. The people its training need names must then complete it. If follow-ups are on, the agent (Learniverse's automatic reminders) tells them and follows up until they finish.

Before you start:

  • You are an Owner or a Manager. Viewers cannot publish or export.

Publish a training

Choose Publish

In the editor, choose Publish at the top right, after Preview. Or go to Training needs › All trainings, choose the ⋮ button at the start of the training's row, then Publish.

Check and confirm

Ready to publish shows who can open the training, any lessons still empty, and whether your team will be told. "Academy" here means your workspace: Public academy is anyone with the link, Private academy only invited people. Choose Publish.

If you see No one is told when it opens — follow-ups are off., turn them on first: see Automatic follow-ups.

Say who must complete it

Every published training answers a training need. If yours already does, this step is skipped. If not, for example one started From scratch, you now see Who must complete “Customer returns at the front desk”, and by when?. On New training need, pick one or more roles under WHO, such as Front desk, or leave Everyone. Under BY WHEN, choose Days after each person’s start date (30 by default), A fixed date or No deadline. For a yearly refresher, type 12 in RENEW. Then choose Make it required or Keep it optional.

To add it to a training need you already have, choose the Existing training need tab, pick the need, then choose Add to this need and publish. The training takes that need's roles and deadline. Cancel — keep as draft publishes nothing.

Read the receipt

Published lists WHAT THE AGENT DOES NEXT: who is told in the next few minutes, who owes it, the reminders before the deadline, and the follow-ups after it. Under LINK, choose Copy to share the training's address. Then choose Back to dashboard, or Add your team to invite people. When nobody is on your team yet, Add your team is the main button.

What publishing does

  • It goes live on your portal, for anyone with the link or only invited people, as set in Settings › ADDRESS › Portal access.
  • The people it names must complete it now. Their status shows on Training needs, Team and the Dashboard.
  • The agent tells them, if Follow-ups is on in Settings › REMINDERS. Invited people get the link to join. What it sends next, and when, is in Automatic follow-ups.
  • Publishing uses no credits.

Change or unpublish a published training

Edit it as usual: each change is live as soon as it saves, with no need to publish again.

To take it offline, choose Unpublish in the editor or in the ⋮ menu. It happens at once, without asking. The training goes back to Draft and leaves the portal, and people's progress is kept. If it was the only published training of a required training need, that need goes back under To deploy on Training needs. Publish again at any time: the need is kept, so you are not asked who must complete it.

Use the training menu

In Training needs › All trainings, the ⋮ button at the start of each row opens the training's menu. On a published training, Share replaces Publish: in Share Course, the link icon copies the training's address again.

A copy answers no training need, so publishing it asks who must complete it. Deleting the only published training of a required training need sends that need back to To deploy. To take a training offline but keep it, unpublish it instead.

Export a training

Every export needs a published training: on a draft, Export to is greyed out with Publishing Required.

  • PDF. Choose Export to › PDF. A printable preview opens: choose Download PDF.
  • Embed. Choose Export to › Embed. In Embed This Course, change the width or height with the edit icon if needed, then choose Copy Code and paste it into your web page. If your portal is private, only invited people can open it there too.
  • SCORM Package. See below.

Export to SCORM

A SCORM package runs your training in another learning platform, such as Moodle, Canvas or Blackboard. Only the person who created the training can export it: see the CREATED BY column in All trainings.

Open the export

Choose Export to › SCORM Package in the training's ⋮ menu.

Generate the package

In Export to SCORM, choose Generate Package. After 15 to 30 seconds, a .zip file named after the training downloads.

Upload it to your platform

In your learning platform, add the .zip file as a SCORM 1.2 package.

The package is a snapshot: after you change the training, export it again. Matching and Fill in the blank blocks are left out. Completions in the other platform stay there and do not appear in Learniverse.

Troubleshooting

"You don't have permission to export this course". Only the person who created the training can export a SCORM package. Ask them to do it.

"Unpublish your course to move it to a different academy". A published training cannot move. Use Copy to academy.
