Edit a training

Change a training's lessons, questions and media in the course editor, and ask the Assistant for bigger changes.

Every training opens in the course editor, however you created it. The editor still says "course" in places: it means the training. Your edits save as you work (the top bar shows Saved just now), except a lesson's title and the Course details window, which have their own Save button.

Before you start:

  • You are an Owner or a Manager. Viewers cannot open the editor.

Find your way around

Go to Training needs, choose All trainings, then click the training.

The course editor for Safety basics, with the OUTLINE on the left, a Read lesson block in the middle and the ASSISTANT panel with its suggestions on the right

The OUTLINE of modules and lessons is on the left, the lesson you picked in the middle, and the ASSISTANT, an AI chat that edits the training, on the right. On a narrow screen, use the Outline and Assistant buttons. The top bar holds Details, your credits, Draft or Published, Preview and Publish (Unpublish once live).

Edit a lesson

1

Pick the lesson

Click a lesson in OUTLINE. Its header shows Ready, or Empty if it has no blocks yet. To rename it, choose the pencil (Edit lesson), change the title, then Save.

2

Add a block

Choose Add block under the last block (in an empty lesson, Add the first block) and pick a type. It goes at the end of the lesson.

The Add block menu listing Short Explanation, Video, Quiz, Short Answer Question, Embed, Audio, True/False, Matching and Fill in the blank

A sparkle next to Audio means your plan includes it. A lock means it does not.

3

Write the text

Click in a Short Explanation block (its label reads Read lesson) and type. Select words to make them bold, a heading or a list. On a new line, type / for headings, lists, a Quote, a Key Idea, Takeaways, a Table, an Image, an Embed, a YouTube video and more.

A Read lesson block with the slash menu open under a new line, listing Text, Heading 1, Heading 2, Heading 3, Bullet List and Numbered List

4

Change a question

On a question block, choose the pencil (Edit exercise), then change the question and the answers. In a quiz, choose Set as correct on the right answer. Choose the X (Finish editing) when you are done.

5

Arrange the blocks

Choose Move on a block for Move to top, Move up, Move down, or a lesson under Move To Another Lesson. The icons next to it duplicate the block, mention it to the Assistant, and delete it.

6

Check it as your people will

Choose Preview in the top bar. It opens the training on your portal (the website where your people take their trainings) in the same tab, as they see it, even while it is a draft. Use your browser's Back button to return.

Change the outline

In OUTLINE, + Module adds a module. On a module's row, + (Add lesson) adds a lesson called New Section, and ⋯ offers Move up, Rename and Delete. Drag lessons to reorder them, even into another module. The trash icon in a lesson's header deletes the lesson without asking.

Block types

In Add blockWhat your people do
Short ExplanationRead the text.
VideoWatch, then answer an optional question.
QuizPick the right answer.
Short Answer QuestionAnswer in their own words.
EmbedUse a web page, a PDF or an embedded tool.
AudioListen to a clip you recorded or uploaded.
True/FalseJudge a statement.
MatchingMatch items in pairs.
Fill in the blankSupply the missing words.

Add media

Images. In a text block, type /Image. In Insert image, choose Upload (PNG, JPG, GIF or WEBP, up to 5 MB) or Knowledge base to reuse an image already in your workspace.

Video. Add a Video block. Under External URL, paste a YouTube, Loom, Vimeo or direct video link in Video URL, with a Start Time if needed. Or open Knowledge base to pick a video already in your workspace. Turn on Add a follow-up question to ask one question after the video.

A Video block with the External URL tab, the Video URL and Start Time fields, a description typed in, and Add a follow-up question switched off

The Video block does not upload files. To use your own video (H.264 MP4, up to 100 MB and 90 minutes), first add it to your workspace: on Training needs, choose + ATTACH on a training need, then Upload a new file. It then shows under Knowledge base.

Embeds. Add an Embed block, pick an Embed method (URL embed, HTML embed or PDF document), set the Display size, then choose Confirm Embed.

Improve it with the Assistant

The ASSISTANT rewrites lessons, adds practice, and checks that every objective is taught and tested. Choose a suggestion such as Audit this course, or type in the box that reads Ask to rewrite, add a quiz, or clarify…, for example Add a true or false question at the end of each lesson in module 2, then choose Send. It changes the training directly, so check the result with Preview. Each message uses up to 10 credits.

Add document gives it one of your files. Web search, under the sliders icon (Chat settings), lets it use public websites.

Edit the details

Click the title in the top bar, or Details. In Course details, change what you need and choose Save.

The Course details window with Title, Description, Audience, Language, Duration, Level and Facilitator, above the Save button

  • AUDIENCE is a short line on who the training is for. Who must complete it is set by its training need.
  • LANGUAGE sets the language of the buttons around the training on your portal. It does not translate the lessons.

Good to know

  • Edits to a published training are live at once. Your people see each change as soon as it saves.

Troubleshooting

"HEVC (H.265) video isn't supported" or "HEIC isn't supported". Re-export the video as H.264 MP4 or the photo as JPG. On an iPhone or iPad, setting Settings › Camera › Formats to Most Compatible avoids this.

"Insufficient Credits". The Assistant needs at least 10 credits available. See Plan, seats and credits.

"This course isn't available yet" in Preview. Someone else created the training. Publish it first, or ask them to preview it.
